This was a lot of material for an hour. We get overviews of a lot of stuff. I would like to see a class that focuses on a particular AI tool and show us how it can be used to make our work easier. This class has me curious but now sure how I will apply it.

i would have loved just an hour on how to use AI in general (createing agents, writing better prompts, etc.) and an additional hour about AI options and what to use them for (like with the gamma, scribe, copilot, etc.). I've already used that prompt agent and I'll be using the scribe later today

Frequently Asked Questions

Administrative professionals are among the workers best positioned to benefit from AI tools because their roles involve high volumes of language-based, repetitive tasks that AI handles exceptionally well. Email drafting and response—one of the most time-consuming daily tasks for executive assistants—can be dramatically accelerated using AI tools like Microsoft Copilot, ChatGPT, or Gemini to generate first drafts that require only light editing. Meeting scheduling, which historically requires multiple back-and-forth exchanges, is streamlined through AI-powered tools like Microsoft FindTime, Calendly AI, and Reclaim.ai. Document summarization enables admins to extract key information from lengthy reports, contracts, and email threads in seconds. Travel research and itinerary building—comparing flight options, hotels, and logistics—benefits from AI assistants that can compile and format recommendations quickly. Presentation creation is accelerated with Copilot and Canva AI. Research and information gathering for executives is transformed by AI's ability to synthesize information from multiple sources rapidly. The professionals who learn to use these tools confidently will multiply their output and elevate their role from task executor to strategic enabler. Aurora Training Advantage's AI for Assistants webinar with Melissa Peoples showcases specific, immediately actionable AI applications tailored to the administrative profession.
AI automation is transforming the most repetitive, time-consuming elements of administrative work—freeing assistants for higher-value strategic support. Email triage and drafting: AI tools read incoming email and suggest prioritized responses, flag urgent items, and generate reply drafts that match the assistant's or executive's communication style. Meeting scheduling and calendar management: AI scheduling assistants analyze calendar availability, preferences, and priorities to suggest optimal meeting times and automatically send invitations. Document creation and formatting: AI generates first drafts of standard documents—meeting agendas, follow-up emails, reports, status updates—from brief outlines or bullet points. Data entry and form completion: AI extracts structured information from unstructured documents—invoices, forms, emails—and populates spreadsheets or systems. Research and synthesis: AI summarizes lengthy documents, identifies relevant information from multiple sources, and produces briefing notes. Travel planning: AI compares options across flights, hotels, and ground transportation and formats recommendations for executive review. Expense reporting: AI tools categorize receipts and populate expense reports from photographed receipts. Each of these automations saves 15 to 60 minutes per occurrence—cumulating to hours of reclaimed time each week for focus on non-automatable, relationship-driven work. Aurora Training Advantage's AI for Assistants webinar with Melissa Peoples identifies the highest-impact automation opportunities for administrative professionals across all of these task categories.
The pace of AI development is extraordinarily fast, and staying current requires both a learning strategy and efficient tools to filter the signal from the noise. AI tools themselves are valuable for staying informed: using ChatGPT or Claude to get plain-language explanations of new tools, asking for summaries of industry reports, or requesting curated reading lists on specific topics makes learning accessible without requiring deep technical backgrounds. LinkedIn Learning, which has integrated AI-generated course recommendations, delivers personalized professional development pathways for administrative professionals. Curated newsletters like The Rundown AI, TLDR AI, and Ben's Bites distill daily AI news into accessible summaries. Professional communities—IAAP, admin-focused LinkedIn groups, and Microsoft community resources—surface practical tool reviews from peers with similar roles. Following trusted practitioners and thought leaders on LinkedIn who share hands-on tool assessments provides credible, real-world perspective rather than marketing hype. Dedicating a small, consistent time block—30 minutes per week—to exploring one new AI tool or feature prevents overwhelming backlog while building steady competence. Aurora Training Advantage's AI for Assistants webinar with Melissa Peoples helps administrative professionals develop a sustainable AI learning practice that keeps them ahead of the curve.
The administrative professionals who adopt AI most effectively will not be replaced by AI—they will become dramatically more valuable by leveraging AI to deliver capabilities that previously required larger teams or more senior staff. AI adoption positions administrative assistants as force multipliers for their executives: by automating time-consuming routine tasks, AI frees assistants to invest their time in higher-value activities—anticipating needs, managing complex stakeholder relationships, coordinating strategic projects, and providing the judgment and contextual knowledge that AI cannot replicate. The executive who previously needed an assistant plus additional support staff can get equivalent or greater output from a single AI-augmented assistant, making that person's value and career security directly proportional to their AI proficiency. Presenting AI-generated insights, reports, and executive briefings that previously required significant manual effort demonstrates elevated capability and earns expanded responsibility. Staying ahead of AI adoption in the organization—being the person who helps teammates learn new tools—builds expertise visibility and influence. The narrative is clear: AI does not eliminate the need for skilled administrative professionals; it raises the ceiling on what those professionals can accomplish. Aurora Training Advantage's AI for Assistants webinar with Melissa Peoples is specifically designed to give administrative professionals the confidence and skills to use AI as a career accelerator.
AI tools have transformed three of the most time-intensive areas for administrative professionals: communication, scheduling, and document management. For communication, AI writing assistants can draft emails, summarize lengthy threads, and suggest professional phrasing—cutting drafting time significantly. In scheduling, AI-powered calendar tools analyze availability, suggest optimal meeting times across time zones, and can even anticipate conflicts before they arise. For document management, AI can auto-tag files, extract key information from contracts or reports, and generate summaries that save hours of manual review. Assistants who master these capabilities become force multipliers for their executives and teams. Aurora Training Advantage's AI for Assistants webinar provides hands-on guidance on applying these tools in real workplace scenarios, helping administrative professionals build confidence and demonstrate measurable value through AI-powered efficiency gains.
