Microsoft SharePoint is a web-based collaboration and content management platform included in Microsoft 365 that allows organizations to create internal websites for sharing documents, news, links, and information across teams, departments, customers, and vendors. In a business environment, SharePoint serves multiple functions: it acts as a document management system where teams store, version-control, and co-author files; a company intranet where news, announcements, and organizational resources are published; a collaboration hub for project teams to share content and track progress; and an integration point for other Microsoft 365 applications such as Teams, Outlook, and Power Automate. SharePoint sites can be customized with the organization's branding, structured with multiple pages and document libraries, and secured with granular permission settings that control who can view, edit, or manage each area of the site. For organizations already invested in Microsoft 365, SharePoint is a powerful, already-licensed tool that reduces reliance on email for document sharing, improves version control, and creates a single source of truth for team information.
Setting up and branding a new SharePoint site involves several straightforward steps that a site owner can complete without IT intervention in most Microsoft 365 environments. First, the site owner creates a new SharePoint site from the SharePoint home page, selecting either a Team site (for internal collaboration) or a Communication site (for broadcasting information to a larger audience). Once created, branding is applied through the site's 'Change the Look' settings, where you can upload a custom logo, select a color theme that matches your organization's palette, and choose a header layout. The home page can then be customized using SharePoint's web parts—modular building blocks for displaying text, images, news posts, document libraries, links, events, and more. Navigation can be configured through the Quick Launch (left side panel) and the top link bar to help users find important content quickly. First impressions matter—a well-branded, clearly organized SharePoint home page signals professionalism and encourages adoption among team members who might otherwise revert to email for document sharing and communication.
SharePoint permissions control who can view, edit, and manage content on a SharePoint site, and configuring them correctly is one of the most important responsibilities of a site owner. SharePoint uses a hierarchical permission model with three default permission levels: Owners (full control, including managing permissions and site settings), Members (can add, edit, and delete content), and Visitors (read-only access). Permissions can be applied at the site level, list or library level, or individual item level, allowing site owners to create fine-grained access controls—for example, a human resources document library accessible only to HR staff within a broader company intranet. Files can be uploaded directly from a computer, dragged and dropped into the browser, or synced with the local computer using OneDrive for Business so files appear in Windows Explorer. Version history is maintained automatically, allowing users to view or restore previous versions of any file. SharePoint makes it straightforward for site owners to add rich content pages, configure navigation, and publish news—no coding required. To add a new web page, site owners use the 'New > Page' option from the SharePoint toolbar, then design the page using web parts (content blocks) such as text editors, image galleries, document libraries, file viewers, and embedded video.
