This was one of the most useful webinars I have attended. It could have been divided into two parts, with an hour allotted for each. There was so much useful information to cover.

This training was informative. I would be interested in additional " basic" training, then continue into intermediate and then advance training in Microsoft Outlook, Excel, Word, Power Point, Access, Teams, etc.I hope there will be more "basic" training that may be needed than a 1-hour session can accomplish.

Another 15 minutes would have been good for her to get to questions. The handouts were not really the ones from her presentation. Her presentation slides would be more helpful for reference because that is where she listed the actual items she went over live in Outlook. If she would have at least included a list of the things she showed us how to do in the handouts, that would have been better because at least I could look it up if I did not remember everything she did to get to the various tools she showed. Also, giving some written directions for reference would be helpful instead of just watching her click things & trying to find on my computer while trying to watch her, ex. templates, loop. Or at least links to written directions online. Liked all of her tips & tricks, just need reference for later to be able to implement them.

Although Melissa is personable, I had a hard time following because she went very fast. I will take advantage of the recording to revisit the webinar.
Frequently Asked Questions
Microsoft Outlook contains a range of advanced features that go well beyond basic email and calendar use, offering significant productivity gains for professionals who invest time in mastering them. Focused Inbox automatically separates high-priority messages from lower-priority ones, helping you process email more efficiently. Rules and Quick Steps allow you to automate repetitive email actions — filing, flagging, forwarding, and replying — with a single click or automatic trigger. The Scheduling Assistant eliminates back-and-forth meeting coordination by showing real-time availability for all invitees. Outlook's integration with Microsoft To Do allows tasks created from emails to sync across devices and appear alongside your calendar. Conditional formatting in calendar and mail views lets you visually prioritize items by color coding. Search Folders create persistent virtual folders that dynamically display emails meeting specific criteria without moving messages. For administrative professionals and executives managing high-volume communication, mastering these features can reclaim hours of productive time each week.
Microsoft Outlook offers extensive customization options that allow you to reshape the interface and behavior to match how you actually work. The Quick Access Toolbar can be configured with your most-used commands so they're always one click away, regardless of which ribbon tab is active. The Navigation Pane can be rearranged to prioritize the modules you use most — mail, calendar, tasks, or contacts. Custom views allow you to change how email is displayed — grouped by conversation, sender, or date — so your inbox reflects your processing preferences. You can create custom categories with color labels that span email, calendar, and tasks, creating a visual organization system that's consistent across your entire Outlook workspace. Signatures can be tailored for different email accounts or contexts, saving time on routine correspondence. Setting up multiple email accounts in a single Outlook profile and managing them in a unified inbox streamlines communication for professionals who handle both organizational and personal email in one tool.
Managing a high-volume inbox in Microsoft Outlook requires a combination of organizational strategies and automated tools that work together to reduce manual processing time. Creating a folder architecture that mirrors your workflow — with folders for active projects, waiting-for replies, reference material, and completed items — gives every email a logical home beyond the inbox. Rules automatically route incoming emails from known senders or with specific subject line keywords to the appropriate folder, so your inbox primarily contains items requiring your attention. The Focused Inbox feature, when enabled, uses machine learning to separate high-priority messages from newsletters, notifications, and lower-priority correspondence. Scheduling dedicated email processing blocks — rather than monitoring continuously — reduces cognitive switching costs throughout the day. Applying the 4 D's framework (Delete, Do, Delegate, Defer) during each processing session ensures that every email receives a decision rather than being read and left. Aurora Training Advantage's Outlook training covers these techniques in a practical, immediately applicable format.
Microsoft Outlook's calendar features extend well beyond basic appointment scheduling and offer powerful tools for managing your time and coordinating with others. The Scheduling Assistant shows the real-time availability of all meeting invitees in a single view, eliminating the back-and-forth of finding a common meeting time. Overlay mode allows you to display multiple calendars — your own, shared team calendars, or room resource calendars — in a single color-coded view that shows scheduling conflicts at a glance. Calendar groups let you view the schedules of your entire team simultaneously, making resource planning straightforward. Setting up recurring appointments for regular commitments — weekly reviews, focus blocks, or standing meetings — ensures protected time appears on your calendar before others can schedule over it. Using the 'Work Elsewhere' and 'Tentative' status options communicates availability nuances to colleagues. Connecting Outlook Calendar to Teams for meeting links and to Planner for task visibility creates a unified time and work management system.
Microsoft Outlook includes several integrated task management features that help professionals track commitments and deadlines without switching to a separate application. The Tasks module, which syncs with Microsoft To Do, allows you to create tasks manually, set due dates and reminders, add notes, and track completion status. One of the most powerful task-creation methods is flagging an email for follow-up with a specific due date — the flagged email appears both in your inbox with a visual indicator and in your task list, keeping the original context attached to the action item. Quick Steps can automate the process of converting common emails into tasks with a single click, reducing the friction of capturing action items from incoming messages. The integrated calendar and task view allows you to see your appointments alongside your task list in a single interface, helping you plan realistic workdays. Sorting tasks by due date, category, or project creates a prioritized action list that adapts to how you organize your work.
