Excel Agility: Spreadsheet Basics Part 2
Access this expert-led webinar instantly, available anytime on-demand.
Included in All-Access MembershipThis presentation by author and Excel expert David Ringstrom, CPA, builds on the discussion in part 1 of his two-part series on spreadsheet basics. You'll learn how to duplicate Excel worksheets to save time, as well as create a fallback position. David will explore the nuances of copying and pasting in Excel, which is different than in other programs. You'll also learn techniques such as merging cells, finding data, tracing formulas, sorting lists, and recovering unsaved workbooks.
David is the author of “Microsoft Excel 365 for Dummies”, “Exploring Microsoft Excel’s Hidden Treasures”, and has written or co-authored six other books. He demonstrates every technique at least twice: first, on a PowerPoint slide with numbered steps, and second, in the subscription-based Excel for Microsoft 365. David draws your attention to any differences in Excel 2021, 2019 or 2016 during the presentation and in his detailed handouts. The handouts include an Excel workbook with most of the examples he uses during his demonstrations.
Excel for Microsoft 365 is a subscription-based product that receives periodic feature updates. Conversely, perpetually licensed versions have year numbers in their names and do not receive any feature updates.

Analyze Data: Analyze Data in Excel empowers you to understand your data through natural language queries that allow you to ask questions about your data without having to write complicated formulas. In addition, Analyze Data provides high-level visual summaries, trends, and patterns.
Artificial Intelligence (AI): Artificial intelligence is intelligence demonstrated by machines, as opposed to the natural intelligence displayed by humans or animals.
AutoRecover: The Auto-Recover feature saves copies of all open Excel files at a user-definable fixed interval. The files can be recovered if Excel closes unexpectedly, for example, during a power failure.
CONCAT Function: The CONCAT function was introduced in the Office 365 version of Excel 2016. It's not available to users of perpetual licensed versions of Excel 2016 or earlier versions of Excel. This function supersedes the CONCATENATION function and is used to combine multiple pieces of text into one. An alternative to CONCAT and CONCATENATE is using ampersands to join pieces of text together into one.
CONCATENATE Function : The CONCATENATE function in Excel is designed to join different pieces of text together or combine values from several cells into one cell.
Chart: In Microsoft Excel, a chart is often called a graph. It is a visual representation of data from a worksheet that can bring more understanding to the data than just looking at the numbers. A chart is a powerful tool that allows you to visually display data in a variety of different chart formats such as Bar, Column, Pie, Line, Area, Doughnut, Scatter, Surface, or Radar charts.
Column: A column is a vertical series of cells in a chart, table, or spreadsheet in Excel.
Conditional Formatting: A feature on Excel's Home menu that allows you to dynamically apply formatting such as colors, bolding, icons, data bars, and so on based on criteria that you specify for a given set of worksheet cells.
Dialog Box: A dialog box in Excel is a screen where you input information and make choices about different aspects of the current worksheet or its content, such as data, charts, and graphic images.
Dynamic Table: Dynamic tables in Excel automatically update their range, formulas, and connected PivotTables when new data is added, eliminating the need to manually redefine data ranges. The fastest way to create one is by selecting your data range and pressing Ctrl+T (or Insert > Table). This converts a static range into a structured table that expands automatically.
Filter: The Filter feature in Excel allows you to show or hide rows within a list of data by making selections from drop-down lists. The Filter feature is available on the Data tab of all versions of Excel as well under the Sort & Filter command on the Home menu.
Find Feature: To find specific data in Excel, use the Ctrl+F keyboard shortcut to open the "Find and Replace" dialog box. Alternatively, navigate to the Home tab, click Find & Select in the Editing group, and choose Find. The tool allows searching within sheets or the entire workbook, including values, formulas, and comments.
Flash Fill: Flash Fill automatically fills your data when it senses a pattern. For example, you can use Flash Fill to separate first and last names from a single column, or combine first and last names from two different columns. Note: Flash Fill is only available in Excel 2013 and later.
Formula: A formula is an expression which calculates the value of a cell.
Merge Cell: Merge cell is a function in database software that allows multiple adjacent cells to be combined into a single larger cell. This is done by selecting all cells to be merged and choosing the "Merge Cells" command. A close-up of a spreadsheet on a computer screen.
Move or Copy Command: When you move or copy a cell, Excel moves or copies the cell, including formulas and their resulting values, cell formats, and comments.
Paste Command: You can paste the contents into a cell using the Ctrl + V keyboard shortcut.
Pivot Table: A report creation tool in Excel that enables you to quickly summarize lists of data into summary reports by clicking checkboxes and dragging fields onscreen.
Print Preview : Print preview refers to formatting a document for the printer but then displaying it on the display screen instead of printing it.
Recommended Charts Feature: A feature in Excel 2013 and later that enables beginners to get a jump start on creating charts, while also allowing experienced users to view data to be charted in a variety of formats.
Replace Feature: To replace text in Excel, use Ctrl + H to open the Find and Replace dialog box, enter the target text in "Find what" and new text in "Replace with," then click "Replace All". For formula-based replacement by position, use =REPLACE(old_text, start_num, num_chars, new_text).
Ribbon: The "ribbon" is the strip of buttons and icons located above the work area that was first introduced in Excel 2007. The ribbon replaces the menus and toolbars found in earlier versions of Excel. Above the ribbon are a number of tabs, such as Home, Insert, and Page Layout.
Row: A row is the range of cells that go across (horizontal) the spreadsheet/worksheet. Rows are identified by numbers e.g. row 1, row 5. Examples of use. A row might contain the headings of a table e.g. product ID, product name, price, number sold.
SORT: Sorting is the process of arranging objects in a certain sequence or order according to specific rules. In spreadsheet programs such as Excel and Google Spreadsheets, there are several different sort orders available depending on the type of data you're sorting.
Slicer: You can insert slicers in Excel to quickly and easily filter pivot tables. Slicers were introduced in Excel 2010, and they make it easy to change multiple pivot tables with a single click
Spreadsheet: Microsoft Excel is a spreadsheet developed by Microsoft for Windows, macOS, Android and iOS. It features calculation or computation capabilities, graphing tools, pivot tables, and a macro programming language called Visual Basic for Applications. Excel forms part of the Microsoft Office suite of software.
TEXTJOIN Function : The Microsoft Excel TEXTJOIN function allows you to join 2 or more strings together with each value separated by a delimiter. The TEXTJOIN function is a built-in function in Excel that is categorized as a String/Text Function. It can be used as a worksheet function (WS) in Excel.
Table: A table is an arrangement of data in rows and columns, or possibly in a more complex structure. Tables are widely used in communication, research, and data analysis. Tables appear in print media, handwritten notes, computer software, architectural ornamentation, traffic signs, and many other places.
Table Feature : The Table feature in Excel 2007 and later is an improvement on the List feature in Excel 2003 and earlier. The Table feature provides enhancements that make it much easier to analyze lists of data.
Text to Columns Wizard: An Excel feature which allows users to separate data from a single column within an Excel spreadsheet into two or more columns, or to remove unnecessary data from within a column.
Total Row: A Total row appears below the data where each column has access to several automatic formulas. The default selection for the Total Row is none, meaning no function is selected when you first turn on the Total Row on your Table.
Trace Dependents: A formula auditing feature that enables you to identify which cell or cells at are linked to the active cell.
Trace Precedents: A formula auditing feature that enables you to identify which cell or cells that the active cell is linked to elsewhere in the workbook.
Undo Command: The Undo feature in Excel 2010 can quickly correct mistakes that you make in a worksheet. The Redo button lets you “undo the Undo.” The Undo button appears next to the Save button on the Quick Access toolbar, and it changes in response to whatever action you just took; the Redo button becomes active whenever you use Undo.
Workbook: In Microsoft Excel a workbook is a collection of one or more spreadsheets, also called worksheets, in a single file.
Worksheets: A worksheet is a collection of cells where you keep and manipulate the data. Each Excel workbook can contain multiple worksheets.
